Terms of Service

Version 2026-10-26 · Last updated 26 October 2026

Plain rules for using Holdbeep and Beepy, the AI receptionist. Please read them before you create an account.

Draft for review. Some company details below are still marked “[to be added before launch]” and the text has not yet been reviewed by a lawyer.

1. Who we are and what these terms cover

Holdbeep is provided by System Engineering SH.P.K. (“Holdbeep”, “we”, “us”), registration number [to be added before launch], [to be added before launch]. You can reach us at [to be added before launch].

These terms are the agreement between us and you when you create an account or use Holdbeep, including “Beepy”, our AI receptionist. If you use Holdbeep for a business, you confirm that you may bind that business, and “you” includes it.

Our Privacy Policy explains how personal data is handled and is part of how we operate, but it is not a contract term you can be held to.

2. The service

Holdbeep lets a small business set up an AI receptionist: you enter or import information about your business, review and approve it, and Beepy answers questions from that approved information, takes callback requests and helps with appointments.

The service is delivered in stages. At the date of these terms, the following work: accounts and business settings, importing and approving business information, a voice conversation with Beepy in your browser, bookings and appointments inside Holdbeep, team access, usage and billing. Answering real phone calls and syncing Google or Outlook calendars are not available yet. We will tell you before they start, and features may change as they are added.

We may improve, change or retire features. If we remove something you pay for in a way that matters, we will give you reasonable notice and a fair remedy.

3. Beepy is an AI, and what that means

  • Beepy always introduces itself to callers as an AI assistant. You must not configure or use Holdbeep to make anyone believe they are speaking with a human.
  • Beepy is designed to answer only from information you have approved and to take a message when it does not know. AI can still make mistakes, mishear a caller or misunderstand a request. You are responsible for the information you approve and for checking appointments and messages.
  • Beepy is not for emergencies and gives no medical, legal, financial or other professional advice. Do not rely on it as the only way for people to reach you urgently.

4. Your account and your team

  • You must be at least 18 and able to enter a contract. Give accurate details and keep your login secure. You are responsible for what happens under your account.
  • A business has Owners, Admins and Members with different powers. Owners can invite and remove people, manage billing and close the business. You are responsible for who you invite and what role you give them.
  • Tell us promptly if you think your account has been used without permission.

5. Acceptable use

You agree not to:

  • use Holdbeep for anything unlawful, deceptive or harmful, including harassment, scams, spam or unsolicited marketing calls;
  • enter or import information you have no right to use, or personal data you may not lawfully share with us;
  • record or monitor people without the consent the law of your location requires (Holdbeep does not record calls, see the Privacy Policy);
  • use Holdbeep for emergency services, or for any business where Beepy’s answers could put someone at risk if wrong;
  • attempt to break, overload, probe or reverse-engineer the service, avoid its limits or use it to build a competing service;
  • upload malware or content that infringes someone else’s rights.

We may suspend access to stop abuse or a security risk, and will tell you why where we can.

6. Your content and your customers’ data

You own what you put into Holdbeep: your business information, documents you import, appointments and customer details (“Your Content”). You give us permission to store, process and display it only as needed to run Holdbeep for you, including sending the parts needed to our service providers (see the Privacy Policy).

For personal data about your own customers and callers, you decide why and how it is used and we process it for you. You are responsible for having a lawful basis, for telling your customers what is necessary (for example that an AI assistant answers your calls), and for following the laws that apply to your business and your calls.

We do not use Your Content to train our own AI models. We may use anonymous, aggregated statistics about how the service is used to run and improve it.

7. Plans, payment and cancelling

  • Starter costs $19.99 per month and includes 60 minutes of Beepy conversation per billing period. There is no overage charge, so when the minutes are used, Beepy conversations pause until the next period. We do not offer an unlimited plan.
  • Payments are handled by Paddle, our payment provider and merchant of record. Paddle’s terms apply to the payment itself, and Holdbeep never sees your full card number.
  • Subscriptions renew automatically each billing period until cancelled. The price and any taxes are shown before you pay. We will give you notice before a price change takes effect on your subscription.
  • You can cancel in Billing at any time. Cancelling stops renewal and you keep access until the end of the period you already paid for. Amounts already paid are not refunded for unused time, except where the law gives you a right to a refund or we say otherwise.
  • Closing a business or deleting your login does not cancel a subscription by itself. Cancel first in Billing.
  • Test mode. While Holdbeep says that billing runs in test mode, checkouts use test payments only: no real money is taken and no paid service is promised.

8. Ending your use, and deleting your data

You can stop at any time. An Owner can close and permanently delete a business, and anyone can delete their own login, from Settings under Security & Account. These actions cannot be undone. What is deleted and what we must keep (for example invoice records) is described in the Privacy Policy.

We may suspend or end your access if you seriously or repeatedly break these terms, if you do not pay, or if the law requires. Where reasonable we will warn you first and let you export or delete your information.

9. No guarantees, and limits on our liability

Holdbeep is provided “as is” and “as available”. We work to keep it reliable and secure, but we cannot promise it will always be uninterrupted or error-free, or that Beepy will never be wrong. Services we depend on (such as AI, telephony, calendar and payment providers) can fail outside our control.

To the extent the law allows, we are not liable for indirect or consequential loss, lost profit, lost business or missed appointments or calls, and our total liability to you for anything arising from the service is limited to the amount you paid us in the 12 months before the event. Nothing in these terms limits liability that cannot lawfully be limited, including for fraud, death or personal injury caused by negligence, or your statutory consumer rights.

You agree to cover claims brought against us because of Your Content or because you broke these terms or the law, to the extent the law allows.

10. Changes to these terms

We may update these terms. The version and date are at the top. For material changes we will tell you before they apply, and you will be asked to accept the new version before you continue to the dashboard. If you do not agree, you can stop using Holdbeep and delete your account.

11. Governing law and contact

These terms are governed by the law of [to be added before launch]. Consumers keep the mandatory rights of the country where they live. We will try to resolve a complaint with you directly first.

Questions about these terms: [to be added before launch].
